Key Responsibilities
- Act as the primary point of contact for all incoming service requests from clients, ensuring prompt and professional handling of inquiries via phone, email, and other communication channels.
- Efficiently plan and schedule service appointments for our team of skilled service technicians, optimizing routes and resource allocation to meet customer needs and operational targets.
- Maintain a comprehensive overview of ongoing service projects, technician availability, and equipment status to proactively anticipate and resolve potential scheduling conflicts or delays.
- Serve as the vital link between customers, field service technicians, and various internal departments, facilitating clear and timely communication to ensure all parties are informed and aligned.
- Coordinate the dispatch of technicians for urgent service calls, demonstrating strong problem-solving skills to manage unexpected situations and minimize customer downtime.
- Process and document all service-related information accurately within our internal systems, including customer details, service history, technician reports, and follow-up actions.
- Monitor the progress of service jobs from initiation to completion, ensuring all tasks are performed according to established quality standards and within agreed-upon timelines.
- Manage and update service contracts, warranties, and maintenance schedules, ensuring compliance and proactive client engagement for recurring services.
- Prepare and distribute detailed reports on service performance, customer feedback, and operational metrics to management, contributing to continuous improvement initiatives.
- Proactively communicate with customers regarding appointment confirmations, service updates, potential delays, and post-service follow-ups to ensure high levels of customer satisfaction.
- Support internal administrative tasks related to service operations, including ordering parts, managing inventory for technicians, and preparing necessary documentation for field staff.
Requirements & Qualifications
- Proven experience in a similar internal service coordination, planning, or dispatching role, preferably within an engineering, technical, or industrial environment.
- Demonstrated strength in strategic planning, meticulous organization, and maintaining a clear overview of multiple concurrent tasks and schedules.
- Exceptional ability to connect, communicate, and coordinate effectively between diverse groups of people, including clients, technicians, and internal colleagues.
- A strong customer-centric mindset with a professional and empathetic approach to client interactions.
- Proficiency in using planning software, CRM systems, and standard office applications (e.g., Microsoft Office Suite).
- Excellent verbal and written communication skills in Dutch are essential for effective interaction with local clients and team members.

- Residency in or near Drunen, Netherlands, is preferred.
