The Operations Administrator will play a crucial role in ensuring the smooth and efficient execution of our daily business processes, providing essential support across various departments including sales, finance, and logistics. You will be instrumental in managing the flow of information and products, contributing directly to our mission of delivering superior service and innovative cybersecurity solutions to our partners.

Key Responsibilities

  • Order Management & Processing: Accurately and efficiently process sales orders, purchase orders, and license renewals from our partners to vendors, ensuring timely execution and adherence to established protocols.
  • Partner & Vendor Liaison: Serve as a primary point of contact for external partners and vendors, addressing inquiries related to order status, product availability, delivery schedules, and general operational matters.
  • System Administration & Data Management: Maintain and update critical data within our Enterprise Resource Planning (ERP) and Customer Relationship Management (CRM) systems, including product information, customer records, pricing, and inventory levels, ensuring data integrity and accuracy.
  • Logistics & Supply Chain Support: Assist with the coordination of product deliveries, returns, and inventory tracking, working closely with logistics providers and internal teams to optimize supply chain efficiency.
  • Financial & Administrative Assistance: Provide comprehensive administrative support to the finance department, including invoice verification, expense tracking, reconciliation assistance, and other related tasks as required.
  • Cross-Departmental Support: Offer general administrative and operational support to the sales, finance, and management teams, contributing to a collaborative and productive work environment.
  • Documentation & Reporting: Prepare, maintain, and organize operational documentation, standard operating procedures, and generate regular reports to monitor key performance indicators and support decision-making processes.
  • Process Improvement: Actively identify opportunities for process optimization and efficiency enhancements within operational workflows, contributing ideas and implementing solutions to streamline tasks and improve service delivery.
  • Compliance Assurance: Ensure all operational activities comply with company policies, industry regulations, and legal requirements.

Requirements & Qualifications

  • A completed commercial apprenticeship (Kaufmännische Ausbildung) or an equivalent educational background in business administration, logistics, or a related field.
  • Proven professional experience of 1-3 years in an administrative, operational, or logistics coordination role, preferably within the IT distribution, technology, or cybersecurity sector.
  • Exceptional command of both written and spoken German and English is mandatory; proficiency in French would be a significant advantage.
  • Demonstrable proficiency in the Microsoft Office Suite, particularly Excel, Word, and Outlook, for data analysis, document creation, and communication.
  • Prior experience with ERP systems (e.g., SAP, Microsoft Dynamics) and CRM platforms (e.g., Salesforce) is highly desirable and considered a strong asset.
  • Possession of a valid work permit for Switzerland or EU/EFTA citizenship is a prerequisite for this position.
  • Strong organizational skills with a meticulous attention to detail and a high degree of accuracy in all tasks.
  • A proactive and self-motivated work ethic, coupled with the ability to manage multiple priorities and deadlines effectively in a fast-paced environment.
  • Excellent interpersonal and communication skills, enabling effective collaboration with internal teams, partners, and vendors.
